A vendor coordination record should capture the request, expected deliverable, requested date, current status, last contact, evidence, and the internal owner.
Use a standard follow-up cadence and a clear overdue rule. Repeated reminders without an escalation destination create activity without progress.
The coordinator can collect quotes, documents, and status updates, but commercial commitments and contract changes should remain with an authorized owner.
Review the queue by aging and business impact. The oldest item is not always the highest risk, so keep both dimensions visible.
