A research-backed CRM data quality review routine
Make CRM cleanup measurable with field definitions, sampling, error categories, correction logs, and an owner review.
Start with a data dictionary for the fields the team actually uses. Define valid values, required fields, source of truth, and who may change each field.
Use a fixed sample each week, split by record type and recent activity. Categorize errors as missing, stale, duplicated, inconsistent, or unsupported.
Correct records with an evidence note and preserve the before-and-after trail where the platform supports it. Do not silently overwrite a disputed value.
Report error rate and repeat-error rate separately. A lower count may only mean fewer records were reviewed.
